The next step – my personal BOT

A few decades have passed. I’ve worked with IT for the past 25 years. In the different areas. Of course I got involved when the Internet came into being. Not at the forefront. But I can still remember the days when HTML was announced. Where every page was created manually. Where there were no templates yet. So I also had my own website. At some point I changed over. On a blog. And I’ve been blogging since October 2010. Now in two languages. More and more about one topic: About the technology of cooperation. Groove, SkyDrive and now OneDrive. So over 950 articles were created. Individual sections that are not able to describe the possibilities and scenarios that differ from many companies. Of course, my blog will find the people who can use a search engine. If you know what they’re looking for. Because searching needs to be learned. At some point Microsoft gave me the nickname Mr.OneDrive. And now everyone knows me under this name around the planet.

But with the many small and large events and conferences, I only ever reach a small number of people. Even less, but more intensive are, of course, all-day OneDrive workshops on site. Not only can I see the question mark in the eyes of the participants here, I can also respond intensively and quickly. Individually. And it doesn’t matter whether the company has 20 or 100,000 employees. Yes, I can be bought.

I don’t need a website (anymore). Because the content is static, it has to be renewed again and again. The maintenance is (very) complex. And actually, the manufacturer should have documentation. And at OneDrive, Microsoft has now published an impressive number of articles at docs.microsoft.com. But how many people do not know exactly what you are looking for when it comes to the interaction of the individual technical components in the collaboration in all its facets. And even a blog cannot help because it only shows individual sections.

Unfortunately, my daily workshops also have a disadvantage because there are too many companies and I unfortunately only speak two languages. But the technology is with the cloud and AI (artificial intelligence) makes it possible to clone myself. Or to take it to the next level. At least as far as my knowledge of working with OneDrive is concerned. And not just in the two languages, but in more than 50 languages. Around the clock. for 24 hours. Because Mr.OneDrive’s bot doesn’t need sleep.

Everyone will be able to install the bot within Microsoft Teams from the Microsoft Store. And then I am ready and willingly provide information. Anytime. In (almost) every language.

Before you start looking, slowly. I still cannot connect the PC to my brain and transfer the thoughts. This will also take a while with bot development. From the idea in July 2019 in a small feedback session with two MVP colleagues, it took a long time before Thomy Gölles and Stephan Bisser confronted me with the first bot prototype at SharePoint Saturday in Munich at the end of November 2019. And I’ve been collecting questions since mid-December. Questions about OneDrive and OneDrive for Business. And write down the answers. Of course with pictures. And links. To my blog. Or to the original documentation from Microsoft. There are still a few stumbling blocks to be cleared out of the way. I’ll write about that too.

OneDrive for Business | local Sync with Microsoft Teams

Microsoft has published the GA for the Product called Teams. So I should also write about that. No, not about Microsoft Teams. So there were other MVP’s they may do that. The good things. The bad things. Yes, there were some issues, you will have with Microsoft Teams. But again: Other MVP’s could write about that.

Microsoft Teams is taking the the existing Resources of Office 365. Normally a user may not get in contact with SharePoint or Groups inside of SharePoint. But we need the Groups.

I’m not interested in all these funny conversations. There are “unstructured”. We want to use folders and files.  The question is?

May I work with Microsoft Teams, even I do not have Internet?

The answer is Yes. Because the structured data is saved in a document library of a SharePoint Group

and Yes, you know, documents inside of a document library of a SharePoint Group may be synced to your local PC. All, or only some. Selective, we use the Next Generation Sync Client.

After you have synced the data, open your Windows Explorer and look:

  1. Select the Group
  2. Click on Files
  3. Click on …
  4. now Click: Open in SharePoint

If you are not signed in, Sign in with your Office 365 account

  1. sometimes you have to click on documents
  2. Here you see the Group name
  3. and the section (Allgemein == General)
  4. If you do not have select any file you may click on Sync

There are different messages  in the different web browsers.

so you may receive a popup message in your browser If you have worked and installed the Next Generation Sync Client, you do not have to do anything

That’s it. After these small steps and the time for the initial sync, you are able to work with these “structured” data in the Offline Modus.

Nachdem Microsoft am 14.03.17 die globale Verfügbarkeit des Produktes Microsoft Teams bekannt gegeben hat, sollte ich auch einmal etwas darüber schreiben. Nein, nicht über Microsoft Teams. Das lasse ich andere tun. Auch über das Für und Wieder. Gibt es überhaupt ein Wieder? Ja, auch bei Microsoft Teams gibt es ein paar Kleinigkeiten, die noch fehlen. Aber wie gesagt. Hier können sich meine MVP Kollegen noch auslassen.

Microsoft Teams nutzt vorhandene Office 365 Ressourcen  so geschickt, ohne den Anwender mit SharePoint oder Gruppen in SharePoint zu konfrontieren. Ich habe hier nur einmal SharePoint bzw. die Gruppen in SharePoint aufgezählt, denn genau die interessieren hier.

Und hier interessieren auch nicht die gesamte Unterhaltungen, die ja auch unstrukturiert ablaufen. Ich möchte mich mit den Dateien auseinander setzen.

Oder anders ausgedrückt.

Kann ich mit Microsoft Teams arbeiten, auch wenn ich kein Internet habe?

Die Antwort ist ja. Die Dateien werden in einer SharePoint Gruppe gespeichert.

und ja, Dokumente in einer SharePoint Gruppe können mit dem lokalen PC synchronisiert werden. Alle, oder einzelne Ordner. Selektiv. Weil wir ja mit dem Next Generation Sync Client arbeiten.

  1. Selektieren sie die Gruppe
  2. Dann klicken wir auf Dateien
  3. Anschließend klicken wir auf die drei Punkte
  4. Und wählen zuletzt “in SharePoint öffnen”

Schritt für Schritt Anleitung, Dateien aus Teams lokal zu sychroniseren.

Mit dem letzten Klick öffnet sich genau diese Gruppe, (nachdem Sie sich zuvor authentifiziert haben)

  1. Manchmal kann es notwendig sein, auf Dokumente zu klicken
  2. Unter diesem Punkt sehen wir die Gruppe…
  3. und hier die Sektion (wobei Allgemein für General steht)
  4. Mit dem Klick auf “Synchronisieren” startet der Prozess
    Übergangsweise wird dieses PopUp Fenster noch angezeigt... Da ich den Next Generation Sync Client schon auf dem Rechner installiert hatte, muss ich nichts tun…
    Selektiver Synchronisation durch Abwahl von Ordner Hier jetzt die Gelegenheit, bestimmte Ordner zu deselektieren, wenn ich den Inhalt nicht auf meinem Rechner benötige.

und das war es auch schon. Ab diesem Zeitpunkt können sie die “strukturierten” Daten auch offline Bearbeiten.
